How to Print a Paper Label

How to Print a Paper Label thumbnail
It's important to know the size of your paper label.

Printing paper labels on your computer printer is easier than you might think. Because many programs have label templates already installed, all you have to do is match the label selection with a product number in your drop down menu. If you don't have label templates already installed on your computer, you can download what you need for free from several Internet websites. Off-brand printer labels, both paper and adhesive-backed labels, will feature the reference number of the similar branded product on the packaging for consumer convenience.

Instructions

    • 1

Know the size of your label. All templates will require the label size. Check the label packaging. The label size will be listed as well as a reference to a label product number or a comparable brand name label product number if you are using a discount label.

    • 2

Type your text in the color and font desired. Labels 1 inch wide by 2 5/8 inches long or smaller cannot comfortably fit a type size greater than 12 point. Refer to the label packaging for type size recommendations.

    • 3

Load the paper labels into your printer paper tray. If you're using paper labels that are identical on the front and the back, it doesn't matter which side of the paper faces up. If you're loading adhesive paper, load the paper according to how your printer prints. On some models, the adhesive side faces you; on others, the label side faces you. Experiment with your printer and an extra label sheet to determine the correct loading technique.

Highlight the text to be printed to the label and then click on Edit, and Select All with your mouse. Some programs operate differently.

    • 5

Select an Envelope and Labels application from your drop down menu on your upper task bar. For Microsoft users, this application is found under Tools. When you open this box, your text will appear as it will on the label. If your program doesn't have this option, download a label template for use in creating your labels. Download a template for your label size and then proceed to Step 7. Templates can be found online on websites such as Microsoft, Avery, World Label, and Online Labels. According to World Label, Apple users have label templates installed in their Address Book. World Label recommends Mac users download label templates.

Select the appropriate label by size or reference number. The image of the label is show in the box along with the size of the label. You can select the size of the label under Options or according to the software you're utilizing. According to Microsoft, some programs allow you to type in the label product number.

    • 7

Select the quantity of labels you wish to print. You can print one single label, or you can print a full page of identical labels.

    • 8

Click on Print Options to choose the printing options available for your label, such as the quality, color of ink, and number of label sheets you're printing. Print your paper labels.
