How to Write a Refusal Letter to the HOA About Increasing the Condo Fees
While homeowners associations (HOAs) are formed to promote the best interests of the individuals who own property in a certain neighborhood or condominium complex, they sometimes enact policies or fees that homeowners do not agree are necessary or appropriate. Writing a letter of refusal to increasing condo fees is a good way to make your voice heard and can be an effective blockade to the fee increase when more than one party participates. Whether you want to write a refusal letter to the HOA as an individual or a group, the tone and structure should remain professional and nonthreatening.

Place your name, address and phone number at the very top of the letter, if writing as an individual. When writing collectively, attach a list of the names, addresses and phone numbers of all those who sign the letter. Address the letter to the HOA board members collectively, or to the HOA director.

Begin the letter by stating the reason you're writing (i.e., increase in condo fees). Identify yourself or your group, and proceed to state the reasons you are refusing to pay the increased fee or support the proposal to increase condo fees. If there are numerous reasons, consider using a bulleted list to keep your reasons for refusal organized and easy to understand.

Thank the HOA recipients for their time, and invite them to discuss the matter further by providing the best time and method of reaching you. If you are writing as a group, designate one member to serve as your spokesperson, and specify that person's name and information as a point of contact.

Close the letter with a standard professional salutation, such as "Sincerely" or "Best regards." Type your name below the salutation, and sign your name in the space between the salutation and your typed name. As a collective, forgo typed names and simply have everyone sign below the salutation.

Send the letter using certified mail or a similar service that provides confirmation of delivery.
