How to Prevent Data Theft
With so many portable devices easily available--such as CDs, Flash drives and MP3 players--as well as Internet access on nearly every workstation, businesses run an increased risk of data theft by employees and others with access to confidential data. While most staff members are loyal and trustworthy, defending sensitive data must be considered. Taking steps to protect restricted and vital information will safeguard the data from being used in a dishonest or illegitimate manner.

Use passwords to limit access to databases, documents and other files that not everyone needs to use.

Remove CD burning drives from workstations. If there is an occasional need for an employee to burn something to a disc such as a PowerPoint presentation, have a few computers available with this capability. Appoint an administrator to allow access to these machines.

Update employee policies and procedures to include limits or bans on the possession and usage of removable media such as MP3 players or Flash drives. Lay out clear consequences for the unauthorized use of such media.

Install a firewall, which can protect and control the access to and from the server or business network. This will especially keep hackers from gaining access to the system.

Shred all confidential information that is no longer required. Store files containing confidential information in locking fireproof files and limit access to the keys to such files.
