How to Make a Good Business PowerPoint Presentation

PowerPoint presentations are frequently used in the business world. A useful visual aid for management presentations and even marketing presentations, PowerPoint offers visual interest to verbal presentations. It's also possible to use diagrams and images in PowerPoint presentations, making complex concepts easier to understand.

      Create a written outline of the information you want to include. You may have a speech you're presenting or a written report that you're summarizing to a group. Use this to create an outline of the main topics you want to convey verbally.

      Open Microsoft PowerPoint and select a template. In Microsoft PowerPoint 2007, click on the "Design" tab in the toolbar across the top. Select from the available templates, or you can choose to use a solid-color background with your company's logo appearing on each page.

      Create an introductory slide. The introductory slide should include your company name, the name or topic of the presentation, and the presenter's name. Provide the presenter's title and company name if he is from a different organization.

      Create a slide for each primary topic. The main topic should be included as the title at the top of the slide. If you're using a template, a text box will already be present that says, "Click to add title." Add the points you want to make about each topic in the main text box on each slide. In a template, this text box will read, "Click to add text."

      Keep your bullet points brief. The point of a PowerPoint presentation is not to provide a script that you read verbatim, but to provide brief notes and cues for the speaker and audience to follow.

      Search for images relevant to your topic. Find free stock images on Flickr Creative Commons or Stock Xchng. You may use images found here, provided you give credit to the copyright holder. Add appropriate images to some or all of your slides, and place a statement at the bottom of the slide that reads, "Image Copyright [Owner's Name] on [Name of Site]" in small print. Replace "Owner's Name" with the name of the copyright holder and "Name of Site" with the name of the site where you found the image.

      Add animation to your slides. Simple animation is more appropriate for a business presentation. You can choose to have your slides advance automatically and set the number of seconds for each slide under the "Animations" tab in the toolbar. You can also elect to have each bullet point advance at a given interval or on the click of your mouse.

      Practice giving your presentation with your slide show. If you've chosen to have your slides advance automatically, you'll want to be sure you have adequate time to get your points across. If you find yourself reading your bullet points, your bullet points need to be shortened and simplified. Make any necessary adjustments.

  • Under your slide, there is an area that says, "Click to add notes." Here you can add detailed notes that will aid you in making your presentation. When you print the notes pages of your slides, the notes will print with each slide for your use. Your audience will not be able to see them, but your notes can help you make a smoother presentation.
