How to Set Up an Outlook Signature

Microsoft Office Outlook’s email management function is probably the single feature that most home and small business users take advantage of on a daily basis, but even that is not typically used to its full capacity. Outlook can streamline simple tasks including setting up email signature blocks that will appear at the bottom of every email you send, providing valuable information about you and your company. This saves you time with every email you send.

Instructions

      Open Outlook and create a new message.

      Click the "Messages" tab. In the Include group, select "Signature" and choose "Signatures."

      Click the "E-mail Signature" tab and select "New."

      Type a name for the signature and click "OK."

      Type the text you would like for your signature in the Edit Signature field and format it as you wish.

      Click "Finish" to save the signature.

      Click the "Messages" tab, select "Signature" and choose "Signatures."

      In the Choose Default Signature area, select an email account from the list with which to associate the signature.

      Select the signature you want to include from the New Messages list.

      To automatically include a signature when you reply to or forward messages, select a signature in the in the Replies/Forwards list. If you do not want to do this, click "None."

      Try out your new signature by opening a new email on Outlook. You will see your new signature at the bottom.

Tips & Warnings

  • Keep the font to 10 or 12 points -- larger is ostentatious and smaller is hard to read. The font may be interesting, but keep it readable.

  • You can also add links to your website and electronic business cards in your signature.
