How to Use Grammar Software

Good grammar, especially in writing, is essential to your success in life and business. Many word processing programs include low-end grammar checking programs to catch the more common mistakes. More powerful grammar-checking software is also available.

  1. Step 1

    Choose wisely. There are tons of grammar-checking programs available, but they may not work with your word processing program. Make sure your word processor is listed as compatible.

  2. Step 2

    Make sure it's easy to use. Some grammar checkers will offer several suggestions on how to make changes, and others will ask you if you want to make a specific change. Still others will just go ahead and make changes for you. Be sure that you control the software and it doesn't control you.

  3. Step 3

    Check out the options. Look for an up-to-date dictionary and thesaurus. These can be valuable tools, especially if the spell-checker in your word processing software is low-end.

  4. Step 4

    Install and run the software. Most of these programs will become integrated with your word processing software. Once they're installed, all you have to do is click on the grammar-checking tool, and it will analyze your whole document. Others require that you use them separately from the word processor. In this case you just open the document in the grammar-checker, and let it do its thing.

  5. Step 5

    Choose your changes. Some grammar checkers will stop at every error and ask you if you want to make a change (like a spell checker) and others will analyze the whole document and insert suggestions where they feel changes are needed. In the first instance all you need to do is accept or deny the changes or choose the change from a list of suggestions. The other requires that you review the document and delete the changes you don't want.

  6. Step 6

    Save your document with the changes and you're done.

Tips & Warnings
  • Be careful when using grammar checking software. Tests of some of the more popular programs produced "errors in judgment" on the part of the software, causing them to find errors when no corrections were necessary.
