"Voice mail should be a tool that you use in your business, to create confidence, give people information. It isn't something that's just there, for the sake of it, because you don't want to pick up the telephone. My name is Kathy Pabst Robshaw, Total Telephone Effectiveness. I'd like to talk about, targeting in on that voice mail, for your business. First thing is, I'd like to start a national campaign. Please stop saying that you're away from your desk, or on the other phone, or on the other line. People know that. If you were there, you would have picked up your telephone, so please stop saying that. Additionally, I would love to ask you to stop saying, that your call is important to me. Everyone is saying it. It's overused, overdone, it's meaningless. Instead, I'd like to ask you to think about a couple of things. When people call you and get your voicemail, they want to know when you're going to call them back. That's their focus. That's their concern, so all that niceness is not necessary. Prepare your voicemail by saying, Good morning, good afternoon, or thank you for calling, because people don't hear the first five words of what you're saying, when they call your voicemail. They just want to speak. Then, say your name, first and last name, if you want. Say your title, which could often help. Let them know they're through to the right person,and tell them when you're going to call them back. That's what it's all about, so good morning. My name is Kathy Pabst Robshaw. I'm out most of the day, but I will call you, by the end of the business day, and that's it, short and sweet. Don't get rid of all that frivolity. It's not necessary, and change your voicemail frequently, and it is also effective to do that, as well. Kathy Pabst Robshaw, Total Telephone Effectiveness."
