Key number ten is the schedule, so let's talk about how your event flows throughout the evening. First you would do the setup and the display. This means the setup of the tables in front of the staging area, the setup of registration and also the setup of the display area where you would show the details and maybe the photos of the various bachelors. That might take you an hour or two to do in the afternoon before your event begins. Next, remember that you will need to setup the bar and the food. If you are in a nightclub venue, they may take care of that for you. That is another great thing to negotiate with the venue when you are choosing which location to use. Next, you will want to have the welcome, a place where you can welcome guests and maybe even have a greeter who checks in the bachelors and is a caretaker to show them what to do and how to proceed next. In your schedule once your event begins, you will have a reception time for mingling, cocktails, a getting to know you. After we feel the majority of people have arrived we can start the ice breakers. These are games that we will talk about in a future segment that will help everyone mingle and get to know each other a little more. You might have the DJ going during this time, drink specials, maybe an optional silent auction or ticket sales going on for a drawing for chance. Next when the crowd is warmed up we can do a brief mention about the organization and how you are going to use the proceeds. You always want to remind people about the mission and why they are helping you with this fund raiser. Next we will have the auction with at much music and lights and fan far as possible. A DJ is great for this as he can throw in various songs that will really get the crowd going. So keep this in mind. Next after the auction plan some dancing. You might want unveil dessert at this time to keep people hanging around for a while. Or you could have more drink specials or coffee provided. Then you will collect payments and a time for the high bidders to meet with their bachelor that they won during the course of the auction. You might even have a special VIP area where only the bachelors and the winners can gather for a few minutes. Finally you will wrap that up and maybe your guests will want to stick around for a while longer or maybe they will need to go home if it is a week night, but regardless you will have had a nice, smooth easy schedule.
