eRoom is an Online service that provides a centralized location for organizations and individuals to collaborate. The Online service allows members to set up rooms to address different subjects or projects. For example, an organization could create separate rooms for company projects, benefits and human resources. Within the eRoom application, a monitor keeps track of member and individual members’ levels of participation.
The eRoom monitor is a person in the client organization who can access calendar events, projects, pending approval for members and task databases within the application. Monitors can choose to monitor a single room or different rooms within the application. Monitors can also scan rooms for events and new updates and synchronize information within an organization. A monitor, in other words, is a person who serves as an administrator of one or more rooms within the eRoom.
By synchronizing rooms, a monitor can control schedules for different tasks. Additionally, a monitor can pair rooms with the same subject matter or projects that depend on each other. Anytime an update, cancellation or an event occurs, paired rooms will synchronize according to the schedule established by the monitor. The monitor can adjust the timing of the synchronization to a specified schedule or automatically allow synchronization of rooms anytime a change occurs.
Monitors have two options when setting up the eRoom service. With the standard installation, monitors are limited to a single eRoom server. This server will handle the indexing, files and the database. The database server, however, can use the same or a another computer. The advanced installation, on the other hand, supports multiple eRooms in addition to multiple files, databases, indexing and real-time servers.
Roles of Members
You have to become a member to use eRoom. Your role as a member determines your access level. A Coordinator helps to manage settings and other members within a room. The creator of a room automatically becomes the room’s coordinator. However, rooms can also have additional coordinators. The coordinator has the same administrative privileges as a monitor within a specific eRoom. However, the monitor is a person or persons within the user organization designated to administer the eRoom Online service for the organization. Participants do not have any administrative access to a specific eRoom. Participants can create new items and participate within the parameters set by the coordinator. An observer has the least amount of access and can only view activities within an eRoom without actually participating.
