How to Refund Through PayPal Virtual Terminal

PayPal Virtual Terminal enables you to take orders and conduct credit card transactions over the phone, by email or with a card reader. Qualified merchants may also use the technology to void credit card authorizations and issue refunds as necessary. Since PayPal assigns a Transaction ID as the technology is employed, the information provided during the ordering process remains accessible, and this benefit simplifies the refund process. The shopper's credit card authorization must be void before you can issue a refund through PayPal Virtual Terminal.

      Void authorizations from within PayPal's Virtual Terminal. Click the transaction's ID number on the "Transaction Confirmation" page, then click its "Details" button. Select "Void" and confirm that you would like to void the credit card authorization by clicking "Void" on the "Confirm Void" page.

      Process the refund within 60 days of payment from within your PayPal account. Go to the "History" tab and find the transaction you wish to refund. Click its "Details button, then click "Issue Refund" on that transaction's detail page. Issue a refund by entering a full or partial refund amount and comment for clarity if necessary. Click "Continue" to view the "Review And Process Refund" page, confirm that the amount is correct and click "Issue Refund" to send the money back to your customer.

      Send money back to a customer if the refund occurs more than 60 days after the original transaction date. Log in to PayPal, select the "Send Money" tab then enter your customer's details along with the amount you are refunding. Click "Continue" to view the confirmation page and press the "Send Money" button.
