How to Combine Duplicate Contacts in Outlook

The contacts folder in Microsoft Outlook can get messy and confusing if you add duplicate contacts. Accidentally adding duplicates to your contacts folder is easy to do, particularly if you mistakenly create separate entries with a contact’s email address in one and his phone number in the other. Sometimes synchronizing Microsoft Outlook with the contact address book on a smart phone or mobile device can add duplicates to the contacts folder. To combine duplicate contacts, ensure the automatic duplicate contact detector is enabled in Microsoft Outlook.

  • Launch Microsoft Outlook on the computer. Click File followed by Options and then People.

  • Find the Names and Filing heading. Click the check-box to select Check for Duplicate Contacts When Saving New Contacts. Each time you add a duplicate contact, Outlook will now give you the option to combine the information from both entries under one contact.

  • Select the Update New Information From a Duplicate Contact to an Existing One option when Outlook displays the duplicate contact detector dialog box. Outlook will then compare the content fields in both entries and automatically adds changed or new information in the new contact to the existing contact.

Tips & Warnings

  • You can still choose to add a duplicate contact as a new contact by selecting the **Add a Duplicate as a New Contact** option. This is useful if you want to add a new contact who happens to have the same name as an existing contact.
