      Insert a piece of company letterhead into the printer. The news of the merger is an official communication from your company and the letterhead will help your message look more credible.

      Type the date, and skip a space. Use your mail merge program on your word processor to automatically insert the customers' addresses and names.

      Begin the letter by telling the customers that you have exciting news that will improve the great quality and service they are already used to receiving. Get the customers excited; the contribution of another company's expertise and products can increase their options.

      Give the details about the merger in the subsequent paragraphs. Customers will want to know when the merger will happen or when the changes to their service will take effect. They will also want to know when they can expect changes or improvements to their services, if applicable. If the merger will improve their service or selection of products, play up this information as you describe the changes that will occur.

      End the letter by typing "Sincerely," and skipping three lines. Type your name. Print the letters and sign them above your typed name. If there are too many letters to sign individually, insert a digital signature instead or a graphic with your signature.
