A backstage pass can help prevent chaos behind the scenes.

Many have dreamed of scoring a backstage pass to their favorite concert or performance so they can schmooze with the stars and get a view of things from behind the curtain. If staging an event, even a small one, creating passes will ensure only the right people find themselves backstage, preventing confusion, chaos and potential breaches to security so that the show can run smoothly. Passes are also a chance to create a customized souvenir for those involved in the production to remember the event by.

Instructions

    • 1

Design a basic prototype for the backstage pass that can be customized for each recipient and filled out with necessary information. Use a computer graphic design program, a ready made template or work with arts and craft supplies, like markers and pens, to create a pass workup. Compare and contrast designs for style and function before deciding on one to use and if artwork has been made especially for the event, like a poster for a concert or play, include it on the pass as well. Print the finalized design on sturdy cardstock paper, which will hold up better than normal, thin paper.

Add the relevant information to the passes. Include the name of the event the pass is being created for as well as the venue, leaving slots where the appropriate names, dates and supporting information, such as which areas of backstage the pass allows access to and the length of its validity, can be added.

    • 3

Customize the passes for the people who will receive them. Take digital photographs of everyone needing a pass or require them to hand in passport-sized wallet photos in advance, so that each pass can be personalized with a a picture for easy identification. Affix photos to each pass, along with the user's name and function, such as performer, journalist, special guest or family member.

    • 4

Laminate the passes in transparent plastic. Covering the backstage passes in laminate will make it difficult for them to be tampered with, as it will not be possible to replace the photo or changed the information written on the pass without destroying it. Punch a hole in the top of the plastic coating and run a cord through it so the pass can be worn around the neck.

Create extra guest passes. After making passes for everyone on the designated list, make a few extras for any unplanned guests, like additional journalists or family members, that may come to the event and require backstage access. To prevent tampering or other troubles, use the original pass design template to make different colored passes for different days of the event, for instance, make a Monday pass blue and a Tuesday pass green. Such precautions prevent the pass from being given to an unauthorized individual for use at a later date.
