How to Create an Organizational Chart in Office 2003

Many applications in the Microsoft Office 2003 suite can be used to create various kinds of charts including organization charts. You will need to make a chart like this if you want to make a clear representation of your organization's management structure. You can also customize the chart to identify unique aspects of a particular organization.

Instructions

      Load Microsoft Word 2003 and click the "Insert" menu. Point to "Picture" and click "Organization Chart."

      Add a label by double-clicking the box so you can type text into it. If you want to add another shape below an existing shape, click on the object that requires a subordinate and click the "Insert Shape" button found in the "Organization Chart" toolbar.

      Copy the organization chart and paste it to your desired Office 2003 application by clicking on the chart so you can see the border surrounding the chart.

      Right-click on any part of the border and click "Copy." Load any other Office 2003 application and click the "Edit" menu to get to the "Paste" menu item. Click "Paste" and the chart will be loaded into the application.

Tips & Warnings

  • You can optionally change the layout of the organization chart by clicking the "Layout" button on the "Organization Chart" toolbar.

  • You can also change the style of the boxes by clicking the icon that looks like a lightning bolt. The "Organization Chart" toolbar will bring up the "Organization Chart Style Gallery" where you can select from the available styles.

  • Finalize the organizational chart before pasting to other Office 2003 applications so you do not need to backtrack with edits very often.

  • After you finalize the chart, save the Word document by clicking the "Save As..." item in the "File" menu even if you plan to paste it in another Office 2003 program. This way, you can easily make changes to the chart in the future. Then you can copy and paste the updated chart again.
