How to Compress Large PDF Files

Compressing large PDF files is useful when you wish to archive them on your computer. The files will take up less space on your hard drive when compressed as a group, but they will still be accessible in the case that you would like to uncompress and open them in the future. The compressed PDF files will also be much easier to place on an external hard drive to transfer to another computer or to upload them to your email and send them to a co-worker.

Mac

  • Click on the Finder icon to open it.

  • Create a new folder by clicking “File” and selecting “New Folder.”

  • Name this new folder “Compressed PDF Files.”

  • Browse through your computer files, and select the large PDF Files that you would like to compress. Then drag and drop those PDF files into the folder you created.

  • Hold the "CTRL" button and click the “Compressed PDF Files” folder. Then select “Create Archive of.” A compressed ZIP file containing your large PDF files will appear next to the original uncompressed folder.

PC

  • Open Windows Explorer.

  • Create a new folder by clicking “File” and selecting “New Folder.”

  • Name this new folder “Compressed PDF Files.”

  • Browse through your computer files, and select the large PDF Files that you would like to compress. Then drag and drop those PDF files into the folder you created.

  • Right-click the “Compressed PDF Files” folder. Then click “Send to” and select “Compressed (zipped) Folder.” A compressed ZIP file containing your large PDF files will appear next to the original uncompressed folder.
