How to Set up an Outlook Email Calendar


Microsoft Outlook offers a built-in calendar tool within the email client software. The calendar allows you to organize events, appointments, meetings and important dates on your computer. You can color-code your calendar entries to highlight them by importance or type. You can also set the calendar entry to alert you before your event happens so that you don't forget an important meeting or appointment.

  • Launch the Outlook email client.

  • Click the "Calendar" option from the left pane. This will open up your calendar in the right pane of the client.

  • Choose your calendar view from the top toolbar. You can view a single day, the work week, a full week or a month.

  • Double-click on a day or a time slot within one of the days on the calendar. This will launch a new appointment window.

  • Type in the name of the calendar entry and the entry's location in the text boxes provided.

  • Choose a label from the drop down menu to color-code your entry based on its importance or type.

  • Edit the start and end time for your entry if needed.

  • Configure your reminder alert if you would like to use one. You can choose how far ahead in advance the alert will pop-up, what sound it will play and your status.

  • Type a message in the large text box at the bottom of the event if you need to record more information about the entry.

  • Click on the "Recurrence" button in the top bar if you would like to set this event up as something that happens at certain times every day or week.

  • Click the "Save and Close" button to save your entry.

  • Add more entries to help organize your time and set up your Outlook calendar.
