How to Format & Print Address Labels Using Microsoft Word

Microsoft Word is the most commonly used vehicle for printing address labels because is simple to use, yet effective. Word takes a no-frills approach to formatting labels--but if you want to add something extra, it's easy. You can type simple addresses, or you can copy and paste a logo or another small picture along with them. You can create a sheet of the same label, or a sheet with different addresses. Whatever your needs, with Microsoft Word formatting and printing labels is simple and convenient.

    Things You'll Need

    • Microsoft Word 2003 or later version

        Open MS Word and select "Tools." Then point to "Letters and Mailings." (In MS Office 2007 or newer, click the "Mailings" tab, then "Labels."

        Select "Envelopes and Mailings" and then go to the "Labels" tab.

        Click "Options" and select your printer type from the "Printer information" section. Choose either "Dot matrix" or "Laser and ink jet." (Note: If you select "Laser and ink jet" and you have a printer with multiple trays, you will be able to select which one to use next to "Tray.")

        Click the down arrow next to "Label products," located under "Label information," and select your label brand. Next, choose the "Product number" in the list box. Click "OK." (Note: To find out more details such as precise measurements, click "Details." For custom labels, click "New Label.")

        Click "New Document" if you would like to print one or more sheets of labels with different addresses, then proceed to Step 6. Alternately, select the option "Full page of the same label" located in the "Print" section to print a sheet of labels with the same address. Next, type the recipient's information in the "Address" text box and then click "New Document." When finished, print out your labels.

        Enter each address and press "Enter" after each complete label is entered to take you to the next blank label position on the sheet. (Note: Some label formatted types require you to press "Enter" twice to get to the next blank label position.)

    Tips & Warnings

    • Create an easily located folder or sub-folder relative to the type of labels you have generated if you plan to use them again. By doing so, you will save time in search and retrieval.
