How to Send Flyers by Email

Once you've finished designing a flyer, it's a good idea to get a second opinion about it by emailing it over to a colleague. Also, when you are ready to send it to a printer, in some cases you will need to send it via email. Your biggest feat when sending flyers by email will likely be getting the flyer size down so that you can transmit the file over your email system. Many email hosts only allow about 10 megabytes to be sent at a time.

      Create and save all of your flyers in an image editing program like Adobe Photoshop. Save them as TIF or PDF files in CMYK (four color process) color mode if you are sending them to a printer. Save them as JPG, GIF, or PDF files in RGB (red, green, blue) color mode if you are just sending this to someone to view online (see "Resources" section).

      Compress your flyers first. Go to Windows Explorer (or the file manager that came with your operating system) to browse your files. Right-click each flyer file and choose "Send to" then "Compressed Zip Folder" or the similar option depending on the compression software that you have installed on your computer. This will compress the file to a smaller size that your email account can handle.

      Right click the compressed file and select "Properties" to assure that the size meets your email service's limits. If it is larger, delete a few files from the compressed folder and add them to another, separate zip file.

      Compose an email and attach the compressed flyer file. If you had to split two or more flyer files up into two or more separate compressed folders, create separate emails for each one.

      Send the email and wait at least two minutes to assure that it goes through successfully. If it bounces back to your inbox, that means that you have to reduce the size of the file more.

Tips & Warnings

  • Notify your sender that you are sending the flyers beforehand. You need to make sure that he has enough space on his own email system to accommodate the files.

  • Delete the flyer file from your email "sent" folder to save space. You may also want to keep the compressed version on your computer and delete the full sized ones. You can always "unzip" the compressed files later.
