Preplanning
-
1
Decide on a budget. Your budget will dictate the number of people you can invite, what kind of party hall you can rent and what type of food and drink you will be able to offer to the guests.
-
2
Create a guest list. If the party is not a surprise party, ask the couple who they would like to invite. Give them a little direction as far as the number of people they will be able to invite. For example, is it immediate family only, or is the sky the limit? If it is a surprise party, ask friends and family members who you know are close to the couple to get the names of all the right people.

3
Inquire at reception halls. If the budget is small, consider if a park or a backyard would be appropriate for the event so you can save money on the location and spend it all on food, drink, entertainment and decorations. Get quotes from a couple places before choosing where to rent or what caterer to hire for the event.
-
4
Decide if you need entertainment. Depending on how casual or fancy the party is going to be, a stereo playing in the background may be sufficient. However, if it is an all-out event, look into booking a band or a DJ to host the evening.
Make it Happen
-
5
Send out the invitations at least six weeks, or even eight in the summertime, in advance of the party. You want to give the guests plenty of time to plan to attend.
-
6
Purchase decorations. Because the 40th wedding anniversary is the ruby anniversary, you may want to consider making that the theme of your event. You don't need real rubies by any means; go after the color or even fake stones that look like rubies. Also consider choosing decorations that are personal to the couple such as family photos, engagement and/or wedding photos and other memorabilia that represents the couple.
-
7
Find party favors for the guests. A party favor is always a great token for guests to have to remember the event. Consider a photo key chain of the couple or a CD of their favorite music.
-
8
Delegate any responsibilities you need to the day of the event in order to make sure everything (and everyone) is where it needs to be and when.
-
9
Celebrate the couple at the event the way that will mean the most to them. Never forget that the party is for them and it should resemble the type of people, and couple, that they are.
