If you need to place the information from an existing file into your Word document, you have a few options. You could retype the information from the second file. Or you could copy and paste the information into the new document from the first document. However, you can also make it even simpler by inserting the file without ever leaving the document you want to place it in.

      Open the document into which you want to place the additional file or files. Open Word and go to the "File" menu; click "Open" and navigate to your document. You can also open a new, blank Word document and enter any text you want.

      Place your cursor in the document wherever you want the additional file or files to be inserted.

      Go to the "Insert" menu on the toolbar and click "File." The "Insert File" dialog box will open. In the "Look In" drop-down menu, choose the location of the file you wish to insert.

      Once you have found and clicked on the file you want, click the "Insert" button. If the file you are inserting is not a Word document, the "File Conversion" dialog box will open. Choose the proper encoding that will make your file readable in your Word document.

      Insert only a part of the document by clicking the "Range" button in the "Insert File" dialog box. You will have to have created a bookmark for the specific range prior to inserting it. In the "Range" box, enter the bookmark for the range of the document you wish to open. When you have inserted your file or (section of a file), it will flow into the rest of your document.

Tips & Warnings

  • You can insert part of an Excel spreadsheet by clicking the "Range" button and typing the cell range into the "Range" box.
