Microsoft Office is widely used, because it offers numerous practical features and benefits to its users. Each program has a specific and practical office application. It is worth noting that it was the usefulness of each of Microsoft's programs individually that led to and justified the creation of an Office suite that has been updated regularly over the past decade.

  1. Microsoft Word

    • Microsoft Word is the primary word processing software used in Microsoft Office. In theory, it is possible to type an entire document in an Excel box or a PowerPoint screen; however, the main benefit of Microsoft Word is that it enables users to create and edit documents online before printing them out on a template that resembles a document. The standard and basic MS Word features include copy, paste, save as, and the ability to choose fonts or margins of a page.

    Microsoft Excel

    • MS Excel is especially useful for anyone needing to organize data, such as accountants, statisticians, economists, journalists or academics. Its features include the ability to create organized rows and columns of data in addition to setting up basic statistical equations and mathematical models.

    Microsoft Outlook

    • MS Outlook is most useful in an office space where it allows office members to privately send messages to one another without the need for an Internet server. Using MS Outlook is akin to passing notes in class. In a practical sense, it helps office members keep certain sensitive information secure and away from the unregulated information flows of the Internet. Its design template is similar to Gmail or Yahoo, except that it is offline.

    Microsoft PowerPoint

    • MS Powerpoint is the presentation program of the Office suite. It enables users to create "slides" as opposed to "documents." The major technical difference is that a slide lacks inherent margins or paragraphing preferences, essentially allowing the user to manipulate a screen that is akin to a blank posterboard. Some features include the ability to attach images and sounds to presentations.

    Microsoft OneNote

    • MS OneNote is one of the newer programs in the suite and is used primarily like an online notepad. It is useful for writers, teachers or anyone who is in the middle of a brainstorming and planning phase where ideas are notoriously incomplete and lacking organization. The program enables users to organize all of their information easily by date, topic and form (e.g., video, audio, or written). The OneNote files also easily transfer by email or MS Outlook.
