How to Sync OmniFocus and iCal


OmniFocus is an application for the Apple OS X operating system designed to help you get things done by using the principles of David Allen's book, "Getting Things Done." One way the application coordinates with your computer is by synchronizing with iCal, the calendar program built into OS X. This features isn't turned on by default. This means that in order to synchronize OmniFocus with your iCal calendar, you need to make a few tweaks in OmniFocus.

  • Navigate to the Applications folder on your dock, then open up OmniFocus. Click on "Omnifocus" in the menu bar, then click on "Preferences" to open up the preferences box.

  • Click on the iCal icon in the Preferences pane, which is the second icon from the right. Click on the Unsynchronized group in the Calendar list on the left side of the window.

  • Look at the contexts listed in the right side of the box, which are all of the contexts used in OmniFocus as part of the GTD system. Click on any context you want to synchronize with iCal and drag it over to the calendar folder you want to sync it to. Repeat for any other OmniFocus contexts you want to sync with your iCal calendars.

  • Click on "File" in the menu bar. Click on "Synchronize with iCal" to synchronize the contexts you selected in the previous step with your iCal calendar. Hold down the option key, command key and "S" key every time you want to synchronize OmniFocus and iCal in the future.
