How to Preview and Print in Word 2007

Now that you have written the great American novel, you need to know how to use the Preview and Print functions in Microsoft Office Word 2007. Many of the same options are there, but there are new ones as well. Whether you are a pro with Word or a new user, you will find the Preview and Print functions easy to use. Read on to learn how to preview and print in Word 2007.

Using the Preview Function

Step1
Open the document to preview, if you are not currently working on it.
Step2
Click the round "Microsoft Office Button" in the top left-hand corner of your screen. You will find numerous features here that used to be on the "File" menu in former versions of Microsoft Word.
Step3
Highlight "Print" and then select "Print Preview." You will see the document on the screen.
Step4
Look at the options on the Ribbon now that you are in the "Preview" mode. You can change margin size, page orientation, change print options and select many other print functions while in the "Preview" mode.
Step5
Leave the "Preview" mode by "clicking" on "Close Print Preview."

Using the Print Function

Step1
Click the "Microsoft Office Button" again and highlight "Print."
Step2
Select "Quick Print" if your document doesn't need any changes.
Step3
Choose "Print" if you want more printing options. The "Print Dialog Box" appears.
Step4
Accept the default printer or choose a new one to the right of "Name."
Step5
Click on the "Properties" or "Options" buttons to choose different options affecting your document's appearance. More commonly used options are visible on the "Print Dialog Box," including number of copies to print, the order the pages will print in, and choosing to print the entire document, the current page or "Selection," or a range of pages.
Step6
Select "OK" after you make your choices and the document will print.

Tips & Warnings

  • You can add the "Quick Print" and "Print Preview" icons to the "Quick Access Toolbar." Click on the "Down Arrow" to the right of the "Quick Access Toolbar" to see a selection of icons that can be added.
  • There is not a "file" option in Word 2007. The icon that opens your options has no identification, but is the four color logo inside a circle in the upper left-hand corner of your screen.
