For easier portability, Microsoft PowerPoint provides you with the ability to package PowerPoint presentations on CD. In addition to all related to files, the PowerPoint reader can also be packaged so your presentation can be viewed on computers without PowerPoint. Placing a PowerPoint presentation on CD-ROM takes only a few minutes. This feature is supported in PowerPoint 2000 and higher. (These instructions are primarily for PCs running the Windows operating system but they work similarly on Apple computers.)

    Complete PowerPoint Presentation

  1. Set up your PowerPoint presentation completely. Once you place the presentation on CD, you won't be able to edit it. Complete each slide. Preview all text to ensure there are no errors. Add effects and set your timing for when the slides will advance. Timing is very important when packaging on CD. Doing so will allow you or others to run the presentation automatically from CD without any interaction from you. Go to the "Slide Show" menu to set up animation effects, rehearse timing, record narration and choose slide transitions.

    Create a folder for your PowerPoint presentation and any related files. If you have any links to external files that must load within your PowerPoint, place these files in your new folder as well. Create a folder by right clicking anywhere on your desktop and pressing "New" and choosing "Folder." Type a name for your folder. This makes locating files to add to the CD easier.

  3. Go to "File" and select "Package for CD." Type a name for your presentation. You can add multiple presentations to a single CD. Press "Add Files" to add files to your CD. Press "Options" to set options for your CD. Options include adding the PowerPoint Viewer, adding linked files, displaying TrueType fonts and setting passwords. The PowerPoint Viewer allows any computer running Windows 98 Second Edition or higher to view PowerPoint presentations without needing PowerPoint.

    Choose how you wish multiple presentations to be viewed. You can select a certain order, play only the first presentation by default, let the user select which presentation to play, or not have the CD play automatically. If you have only a single presentation, either select to play all presentations or not to play the CD automatically.

    Press "OK" to save your options. Press "Copy to CD" to begin copying your presentation and files to CD. Ensure you have a blank CD already in your CD drive. You can use CD-R, CD+R, CD-RW or CD+RW as long as your CD writer supports them.

  5. Play your PowerPoint presentation CD by placing the CD in any CD drive on a computer running Windows 98 Second Edition or higher operating system. The CD will begin playing automatically unless you have chosen the option for it not to play automatically. In that case, go to "My Computer" and select the CD from the "Devices With Removable Storage" section. Double-click the presentation file to begin the presentation. If you have multiple presentations on the CD, choose the presentation from the CD menu once you open the presentation menu.

    If you have set up custom timings, you may not need to press any buttons during your presentation. Otherwise, you will need to use a mouse or keyboard to bring up each slide and even each bullet point. The space bar and left mouse button will bring up each slide. Moving your mouse over a slide will display a small menu at the bottom of the screen with a Play, Pause and Stop button. Your navigation procedure depends mainly on how you set up custom timings.
