When you need to impart information quickly and concisely, a chart helps. With the help of color and labels, audiences readily comprehend relational data presented visually in a chart. This makes a chart a powerful feature to use in a PowerPoint presentation. Learn how to insert charts on PowerPoint slides, draw flowcharts and even animate a chart in a presentation.

    Add a Chart

    To add a chart to a PowerPoint slide, you can create a new chart directly on the slide or paste a chart from Microsoft Excel.

    To create a new chart, go to the "Insert" tab of the ribbon and click "Chart" in the "Illustrations" group in PowerPoint 2007. If you are using PowerPoint 2003 or an earlier version, select "Chart" from the "Insert" menu. Enter the data from which the chart will draw information into the data sheet. Close the data sheet to apply the changes. If you need to make more changes to the chart, the data sheet can be reopened. Right-click the chart area and select "Data Sheet."

    To insert a chart from Excel, open the Excel file with the chart you want to use. Select the chart with your mouse and click "Copy" on the ribbon or toolbar or use the keyboard shortcut "Ctrl+C." Go back to the PowerPoint presentation, click on the slide and click "Paste" or use the keyboard shortcut "Ctrl+V" to paste the chart onto the slide.

    Flowcharts display a process, series or other sequential information. To draw a flowchart on a slide in PowerPoint 2007, start by clicking the "New Slide" button on the "Home" tab of the ribbon. From the "Layout" gallery, select a slide layout with a chart icon. Click on the chart icon on the slide and select the flowchart option from the "Diagram Gallery." In PowerPoint 2003 or earlier, go to the "Insert" menu and click on "Diagram." Select the flowchart option from the "Diagram Gallery."

    After inserting a basic flowchart, click on each shape to add the desired text. To change colors or select other formatting options, right-click a shape and select "Format Shape." Choose the color and other settings you wish to apply.

    PowerPoint allows you to add animation to many objects, such as charts. In PowerPoint 2007, select "Custom Animation" on the "Animations" tab. In PowerPoint 2003 or earlier, select "Custom Animation" from the "Slide Show" menu. Select the chart, and click "Add Effect." Select the type of effect you wish to apply.

    To apply animation separately to chart elements, apply animation as listed above and then click the drop-down arrow next to the animation in the left pane. Select "Effect Options" and go to the "Chart Animation" tab. Select an option in the "Group Chart" drop-down list.
