"Now, the next page we're going to have in our formal report is the letter of transmittal. This is going to go right before our table of contents. What you're going to find or put in the letter of transmittal is what would you say if you were handing this report to someone in person. What would be the words that you would want to say to them? I'm so excited I've really found a solution to your problem and I think you're going to be really thrilled with the outcome; whatever it is. What would you say if you had the opportunity to speak to the person in person? Sometimes a formal report might be a bid for work and you might not get an opportunity to speak to those people to really sell yourself or sell what it is that you've come up with in your formal report, the solution, the request; whatever it is. So, the letter of transmittal gives you that opportunity to say whatever it is that you would say in person. Now, here is another option. Let's say that you are going to give this report to a number of people or there's going to be a mass distribution of it. You might want to write different letters of transmittal to different people in different reports, so that you can talk about something specifically. Let's say this report is going to go to the marketing department, the human resources department as well as the sales department. You might want to say specific things to the specific departments in that case you'd want to have different letters of transmittal in each of those formal reports that's going to each of those different divisions or groups of people."
