How to Use Zoom in Word

Summary: To get a close-up view of your document, or to reduce the view of the document, you can use the Zoom feature. Being able to enlarge the view is helpful if you are working with very small fonts, while being able to reduce the size of the view of the document will allow you to see the whole page, or multiple pages, on the same screen. Note: There are five different layout options available in Word (web, normal, print, reading, and outline). This article is based on the Print layout, which is the most popular view.

Instructions
  1. Step 1

    To enlarge or reduce the view of the document, on the Standard toolbar, click on the arrow next to the Zoom box. Remember, we are using the Print layout in these examples.

  2. Step 2

    From the drop down menu, you can choose from predefined percents or, you can type in a number. Say for instance, that you want the view to be at 90% magnification. To achieve that precise percent:

    (a) Click in the zoom window, and the number in the window will be highlighted.
    (b) Type in a new number to override the number in the view. You do not need to add the percent sign.
    (c) Press enter and the manually entered number will be the percent of view change.

  3. Step 3

    In addition to predefined percentages of enlargement or reduction for the document view, you can choose:

    (a) Page Width, where the text and margins are almost to the full width of the Word window.
    (b) Text Width, where the text is almost to the full width of the Word window.
    (c) Whole Page, where you can see the whole page previewed.
    (d) Two Pages, where, if your document is two more that one page long, you can view two pages on the screen, side-by-side.

    Another option of the Zoom feature gives you more control. Click on View in the top menu bar, and then click on Zoom. The Zoom dialogue box will appear.

    On the Zoom dialogue box, you will that you can also click on percent of view change or enter and exact percent. On the right side of the box, under Many Page, you can choose to view more than two pages at a time by dragging your mouse over the page icons to create the grid view that you would like to see. You can highlight up to three pages across and two pages down to have them display at the same time. After you make the changes you want, by clicking on OK from the Zoom dialogue box, your document view will be reset.
