An Administrative Clerk's Duties

Administrative clerks, also known as administrative assistants, work under the direction and supervision of executive management to handle a variety of duties including communication, dealing with inventory, making travel arrangements and running company errands. Most administrative clerks have a high school diploma in addition to some college courses in business administration. Larger companies will often look for an administrative clerk with a few years of experience in a similar company or position.

Communication

  • As an administrative clerk, he must use good communication skills with office personnel and clients in a variety of forms such as email, mail correspondence, telephone or participation in company or department meetings.

    Since the administrative clerk is often the first person a client sees or speaks to, he must set a good first impression with a professional appearance, voice and demeanor.

    Administrative clerks also may be responsible for replenishing office supplies, a task that requires them to call and place orders with vendors.

Office Machinery and Technology

  • With the continual improvement in office technology, an administrative clerk must keep up-to-date. Office machinery and computer software programs help a clerk to do her job in an efficient manner. She may use office equipment such as computers, printers, copiers and calculators. Depending on the industry in which she works, she may have industry-specific software to use.

Maintain Records

  • One of the largest aspects of an administrative clerk's job is to maintain records, including sales and purchases, meeting minutes, company communications, staff requests and client information. Records can be kept through word processing programs, spreadsheets, databases, handwritten documentation and filing. Some records are highly sensitive so the administrative clerk must be able to keep the information confidential.
