Checklist for an Office Space
Starting up your new business is an exciting time. You've already secured your start-up capital, and are now in the throes of searching for the right office space. When it comes to selecting a place to do business, you must take a lot of information into consideration. Having a checklist of items to look for when you inspect each office space can help your selection process.

Location

The location of your office space should be the first thing on your checklist. You must identify a part of town that is suitable for the type of business you are establishing. For instance, if your office space will be used to provide charitable services to those who are homeless, then you should find a location that is close to a major bus route or train stop. If you are setting up a business in finance and brokering, you might want to be in the middle of a city where a lot of your potential clients work or live. After you find the ideal location, research the local zoning ordinances and whether your type of business is permitted in the neighborhood.
Square Footage

You need to know what your square footage needs are before you go scouting office spaces. If you are running a two-person business, and do not anticipate having clients come to your office, you can get away with a small office space. For larger businesses, however, you will need to find a space that can accommodate your workforce, clients, meetings, waiting areas, possibly cubicles and all of the office equipment you will need to do the job. Additionally, find out the price per square foot.

Condition

The condition of an office space plays a significant role in your checklist. You may or may not want to move into an office space that requires a lot of work, such as remodeling, new lines for electricity and a floor to be installed. Many people want to lease office spaces that are move-in ready and are in good condition. Some minor repairs might be OK, but you need to decide before you look. Decide in advance how much money you want to allocate for remodeling or repairs so that you can get estimates and work it into your budget. You should also look for evidence of pests, water damage and mold.
Utilities

When you tour an office space, make sure the utilities work. Check the electricity, water, heater and air conditioner. Find out whether the cost to run the utilities is included in the lease agreement. Additionally, while you are touring the office space, consider how many windows the space has for natural lighting. Natural lighting can allow you to use less artificial lighting in the office, which could save on your electric bill.
Amenities

On your checklist, include an item for amenities that may be included in your lease for an office space. For instance, your office lease might cover the office space and access to the locked restrooms in the hall. Or, you might be required to pay an additional fee to get access to the restrooms.
Expenses

You should already have an idea in mind of how much you want to spend per month or year on an office space. Find out what other expenses are tacked onto the office space lease, such as taxes, monthly dues and janitorial services.
Furnished

Some owners might lease furnished office spaces, which allow you and your crew to use the furniture already set up. Be aware that such spaces might be pricier per square foot.
