What Are the Duties of a Counselor Clerk?


Usually employed by an elementary, middle or high school, a counselor clerk is responsible for general office duties and assistance in the office of the student guidance counselors. The counselor clerk's duties may include providing personal assistance to the counselors and students. However, his primary duty is to attend to the administrative and organizational tasks needed to keep the counselors' office well-run. This position is best suited for persons with a high tolerance for paperwork.

Appointment Setting

  • Counselor clerks usually make appointments for students to see counselors and are responsible for issuing hall passes or other authorization the students may need to keep the appointments. In some cases, the counselor clerk may accompany the student to and from the classroom.

Secretarial Duties

  • Most counselor clerks are responsible for a wide range of general office duties, such as taking phone calls, taking messages and typing. Some counselor clerks duplicate memos and deliver messages and updates to the counseling office staff.

Organizational Duties

  • The counselor clerk must organize and manage a wide range of paperwork and files, including student information such as report cards, class ranking, and detention and disciplinary information. The counselor must be able to obtain from the counselor clerk any information that he needs to assess a student being counseled.

Mailing Duties

  • The counselor clerk is responsible for responding to mail requests from colleges and other institutions for students' academic records. Many counselor clerks also help students organize and execute their college applications and job applications.

Enrollment Duties

  • Depending on the job site, counselor clerks may also be responsible for enrollment and unenrollment procedures, using an automated student information system.
