Tips on Using GoToMeeting


GoToMeeting is a way to facilitate business meetings for people or organizations with employees in distant locations. It saves time and money by eliminating the need for travel, but gives the same ability as an in-person meeting for attendees to share ideas and interface with all attendees. There are a few tips you can follow to make sure that your GoToMeeting experience runs smoothly and is productive.

Getting Started

The first thing you need to do is register to use GoToMeeting and download the software, which can be done at the company’s website. Once you have done this, you can use the prompts on the screen to schedule a meeting. Once scheduled, you will receive a link that you can send to everyone you want to invite. Simply copy and paste this link into an email and send it to your contacts. When it is time for the meeting to start, your contacts will be sent a reminder to log in using the link you provided and an auto generated email from GoToMeeeting, which includes the phone number to call and a log-in ID for online screen sharing.

Preparing For Your Meeting

Since GoToMeeting allows you to share your screen with all in attendance you should clear any tabs from your screen that wish to keep private. You should also disable any instant messaging software so messages don’t pop up during your conference. When people you invited to your meeting arrive, you will be notified in a box at the top right of your screen, so you can see everyone who is in attendance.

Running your Meeting

Once everyone has arrived and you are ready to begin, you can select the option to share your screen. If you have websites you wish to share, or policies to review, or graphs and charts you want everyone to see, you can share them this way in real time. You can also give control to any of the attendees in order to let them interact with your audience, the same way they could if they were all in the same room. Discussions can be carried out via either landline phones in the style of a typical conference call, or by use of a VoIP phone, which allows the participants to use their computer’s speakers and microphone to join the discussion.

Ending Your Meeting

If you need to leave before the meeting has finished, you can turn over control to any of the attendees by making the person the meeting organizer. When you have completed your meeting, attendees can simply “X out” of the GoToMeeting screen on their browsers and hang up the phone – simple as that. On your end, just select “Exit-Leave Meeting” and the GoToMeeting window will close.
