An appointment scheduler has a relatively straightforward position that sets the time, date and place of appointments, usually for sales people or for professional offices. Appointment setters should have strong attention to detail, good communication skills and a friendly demeanor. They should be able to convince hesitant consumers of the value of their company's products or services.

  1. Inbound Calls

    • Inbound call appointment schedulers help sales or service professionals schedule appointments for their business. Calls usually come in due to advertisements or referrals from previous clients. These schedulers must record all information accurately and transmit it to the appropriate professional who will service the client. The scheduler should have a positive attitude, a clear and professional voice and an inclination to help the caller.

    Outbound Calls

    • Outbound callers find leads on their own initiative or through company sources. They then either cold call clients or follow up on previous contact to schedule sales or service appointments. For example, appointment schedulers for a national roof repair firm would monitor the weather. When they notice hail or strong storms in a region, they call those residents to determine if they would need an inspector to arrive to repair their roof. This is more difficult than inbound calling as it is more of a sales role.

    Medical Appointment Scheduler

    • Medical appointment schedulers must have more expertise due to the variety of cases and doctors they may work with. Of course, medical appointment setters are responsible for setting dates and times of appointments. However, they may also decide which specialists to notify based on the most likely demand of the patient. This requires some knowledge of the medical sub-fields as well as an understanding of the patient symptoms.

    Degrees

    • An appointment scheduler does not need a college degree. Schedulers have at least a high school degree and some also have a community college certificate. However, the full college degree is not necessary. Individuals with experience as executive assistants, telemarketers and sales representatives are often qualified for the position.
