Budget Management Guidelines
Managing a budget takes time and practice as many factors must be taken into consideration. If your budget is not organized, it can be difficult to keep track of spending and managing the budget in its entirety. In order to manage a successful budget, you may need to make a new budget from scratch, so it can easily be updated and maintained.

Create a Budget

If the budget you have is not organized in terms of headings and subheadings, consider starting over by creating a brand new budget that can easily be managed. Your budget should have headings that include sales income, office expenses, product development expenses, assets section and a liabilities section. Each section should list how much the business spends each month on individual expenses, such as printer paper, ink, pens and computer equipment, for example. When you are done with the budget, you should easily be able to pinpoint exactly how much the business spends on computer equipment per month, for example.
Approving Spending

To manage a budget effectively, you must be aware of everything the company earns and spends. While you cannot do much regarding how much the company earns as that solely rely on marketing and customer needs, you can control how much the company is spending. To manage the budget in a strict manner, have the employees run any expenses by you for approval. For example, tell employees that they cannot order any more office supplies for the office until you have approved the purchase.

Monitoring Budget Frequently

Once the approval system has been implemented for the budget, monitor the budget on a weekly basis to ensure that every purchase is approved. While your management system requires you to approve every purchase, you may find that you also need to change the size of the purchases in order to save money. For example, declining an order of 50 printer paper packages may be a method of you to managing the budget, but it may also slow your productivity. Instead, approve an order of 20 packages of printer paper instead of 50.
Making Changes

As the budget continues to be monitored, you may find that you need to add more categories or make adjustments in order to suit more departments in the company. Add more categories and sections, but keep your management guidelines of approval and monitoring consistent. It is when you stop actively analyzing your budget according to your guidelines that you lose the ability of successfully managing the budget.
