Sharing Visio Stencils
Microsoft Visio software is used for creating organizational and workflow charts, training diagrams or even home renovation templates. You create stencil files that contain a collection of specific shapes that are used in your charts and diagrams. You may want to share a stencil with others in your project group who also create charts for consistency in shapes in your charts and diagram drawings.

Create

Start Visio, then click "More Shapes" in the Shapes window. Select "New Stencil," then right-click the new stencil in the Shapes window that you want to use. Select "Save As," then enter a name for your new stencil. Click "Save" to save the new stencil to your My Shapes folder.
Add Shapes

Open the stencil you want to modify, then drag a shape from the drawing page onto the stencil. You can also drag a shape from another stencil to add shapes. If you find difficulty trying to edit a custom stencil, right-click the stencil title bar, then click "Edit Stencil." When finished adding shapes, right-click the shape, then select "Rename Master." Enter a new name for the master shape, then press "Enter."

Open the stencil that you want to share. Right-click the stencil, then select "Save As." Select the drive with removable media, such as a DVD drive or USB storage service. Alternatively, click the "File" menu, then navigate to "Send To." Click "Main Recipient (as Attachment)." The email recipient must also have the Visio software or a Visio viewer installed on his computer to open the stencil.

Because of Microsoft copyrights, if you want to edit a built-in Visio stencil, you must create a new stencil based on it. It's unlawful to distribute, sell or modified shapes based on original Visio stencils. You can, however, copy, reorganize and modify stencils for your own use, as well as distribute drawings that contain stencils. Always keep updated on current policies initiated by Microsoft that involve Visio software usage.
