Choosing the right vendor for a project is important for success.

Finding vendors is easy. Finding good vendors is a totally different story. Businesses need reliable vendors that will deliver quality products on time. Price is also an important factor in choosing a vendor. One way companies choose vendors is by using vendor procurement. This is a process using request for proposals (RFPs) to have a vendor prepare the product from the first stage to the last stage of delivering the product to your business.

  1. Disadvantages

    • The disadvantages of using vendor procurement are few. The most important one is that you don't have a relationship with your supplier. The vendor you choose may not know your needs that well and may put together a product that is not exactly what you are looking for. Furthermore, the product may not be on time or reliably made.

    Overcoming Disadvantages

    • One way of overcoming some of the disadvantages in vendor procurement is researching the vendors you invite for your RFP and choosing vendors who have good references and reputations for being reliable and timely, and for putting together high-quality products. A company can also try to pick and choose a group of vendors it wants to work with and only offer the RFPs to the select group of vendors.

    Advantages

    • There are plenty of advantages. The vendor procurement process is very bottom-line oriented. Since a company specifies everything on the RFP, all of the vendors will offer their best possible price on what you are looking for. It also helps that a company does not have to put a lot of effort into finding and courting the suppliers. A company also avoids having to negotiate, because all of the vendors basically negotiate for it to offer the best possible price. The important point here to remember is that offering an RFP to a group of vendors is necessary. An RFP with one or two vendors won't be as successful.

    Other Options

    • There are other ways to find vendors. One common way is figuring out what your needs as a company are and searching for companies that can fit those needs. For example, if you have a need for a quick response time, you would search for companies that have a quick response time in meeting their clients needs. You can also find vendors that are willing to be flexible and work closely with you to meet your needs.
