How to Create an Outline for a Board Meeting
Gathering personnel for a board meeting can mean a flurry of checking calendars, corralling RSVPs, reserving rooms and booking resources, but once the meeting is in process, you want to stay on track. Having a proper outline, or agenda, for a board meeting may make the difference between accomplishing all of your goals and needing to plan another meeting. Creating an outline requires brainstorming ahead of time and keeping attendees' goals, plans and personalities in mind.

Write down the names of the people who will be attending the board meeting.

Cross check their calendars to determine whether any attendees will have to leave before the meeting is concluded, which may shift their parts of the session to an earlier time on the outline.

Begin the outline with introductory remarks from the board president. Note a few bullet points about the attendees for the speaker. Jot down a line of thanks for the president to indicate appreciation for members making time to come to the meeting.

Type the start time for the first meeting action, item or discussion. Write the subject next to the start time, such as "Determination of Adding Street Lights." Add a few bullet points that have already come up from emails, questions or previous discussions. Type the time the discussion on that item should end.

Add the next item for the board to discuss, including start and end times, the topic title and discussion points. Continue adding items until that part of the outline has been completed.

Type the time the meeting is scheduled to end, along with "Conclusion" or "Dismissal."

Type a line above the conclusion line and add the time period between the last action item and the conclusion time. Type "Questions and Answers," putting a container of time on the outline for anything that hasn't been addressed on the agenda.
