Once all the bids are received, the seller will evaluate the bids.

In the bidding process, the seller can be an individual, company or government agency. When they need goods or services, they will release solicitation documents inviting contractors to bid on supplying the goods or services requested. Once all the bids are received by the date set in the solicitation documents, the seller will evaluate the bids. However, just because a solicitation for bids was released does not mean the contract will be awarded. The seller can decline the bid opportunity.

      Evaluate the bids received. Make sure they meet the requirements you laid out in the solicitation documents. If they do not, you can void them and no longer have to consider them in your decision making.

      Void any bids that are received after the due date specified in the bid documents.

      Notify the bidders if there was no eligible bid placed via letter or email.

      Include in each letter or email the reason why the bid was rejected. This can be something as simple as the bidder not signing and dating their bid. Once all the bidders have been notified of the rejection or decline of their bids, the bidding process is closed.
