How to Create an Agenda Letter for a Parents' Night Meeting
A parent's night, or parent-teacher conference meeting as it is sometimes called, is a helpful tool that teachers and parents can use to monitor and improve their children's educational development. As a teacher, you can create a simple, brief agenda along with instructions to parents in a letter and send it to parents in advance of a scheduled parent's night meeting. An agenda will help parents prepare for the meeting, making your short time together more effective.

Create a letter to parents in a word processing program on your computer. Begin with a cordial greeting and tell parents that you are looking forward to meeting them at the upcoming parent's night meeting. Include the date, time and location of the meeting in the first paragraph.

Start a second paragraph detailing your expectations for the meeting and the purpose of your time with parents. Explain that the meeting is an opportunity for you to tell the parent about his child's academic performance and that you plan to share the student's strengths and development areas. Ask the parent to think of two to three specific questions he has about his child's academic development or classroom behavior.

Provide a three line, bulleted agenda in the third paragraph of the letter which includes equal time allotments to discuss: a.) your view of the child's performance, b.) the parent's concerns and questions and c.) time to develop an action plan for addressing your mutual concerns.

Conclude the letter with a paragraph encouraging parents to write down their concerns and questions and expressing your gratitude to them for coming to the meeting prepared. Thank them for being active participants in their children's educational development.
