Though PowerPoint is primarily used as a presentation tool, its versatility in handling graphics allows you to use it for many other things, including creating calendars and displaying schedules. Microsoft Office products can use templates which automate the formatting of a new document. One of the template types found in the Microsoft online template archive is calendars. So you can browse the template online at office.Microsoft.com or through PowerPoint.

      Click on the "File" tab on the left side of the Microsoft Office ribbon. Click "New" to open a new, blank presentation.

      Click the "Calendar" category from the list on the left. Browse through the templates available on Microsoft's website. Once you've found one you want to use, click to select it and then click the "Download" button. It takes a few moments to download and then a new presentation opens with the template.

      Click on the "Insert" tab and click "Text Box." Click and drag on the slide to draw the text box and then type the scheduled event. Repeat for all the items you need to schedule.

Tips & Warnings

  • You can print the PowerPoint so that the calendar can be posted with the scheduled events. Press "Ctrl + P" to print the slides. Edit the formatting of the text box with the "Drawing Tools: Format" tab that appears on the ribbon when the text box is selected. Copy and past the first text box so that the formatting will remain the same for all your scheduled events.
