Environmental services can be anything from proper disposal of waste to land reclamation.

A proposal letter must be written to an agency or company when bidding on a project that it is advertising. When government agencies or companies need environmental services, they will release solicitations, or requests for proposals, that invite companies to bid to provide those services. The proposal letter you write is your bid for the project, and every letter you write will be different because each solicitation will have different requirements. However, there is some information that should be included in all proposal letters.

      Quote a price. You must calculate a price that is realistic; solicitations are not always awarded to the company providing the lowest quote. Take into account the labor cost, transportation cost and the cost to maintain any tools or machinery you are going to have to use.

      Write a paragraph about what environmental services will be included in your quoted price. These should be at least the services requested in the solicitation documents, because, otherwise, your bid will not be accepted. Tell the agency or company what services you can provide it that other companies will not be able to provide.

      Brag a little. Include information on your company's history of providing environmental services. Also include information on specific past projects and any services that your company provides that set you apart from the competition.

      Include references. Most solicitations will not ask for this until they have narrowed down the bids they have received to less than five possible environmental services companies. However, by including this information initially, it gives a good impression of your company. You are showing you are prepared and organized.
