How to Change or Create a Profile in Outlook 2007

Microsoft Outlook 2007 creates an Outlook data file when you set up the program to synchronize with your email account. The data file and account settings are saved inside a profile that can be modified through the Windows 7 Mail application. The first Outlook 2007 configuration will generate a new profile by default. If you want to add a second profile for a different email account or a different user, you must perform an additional step. A profile can also be modified at any point if you need to change its settings.

  1. Create Profile

      Click "Start," then click "Control Panel."

      Type "Mail" into the search field in the top-right corner of the window, then press Enter.

      Click the "Show Profiles" button.

      Click the "Prompt for a Profile to be Used" option, then click the "Add" button.

      Type a name for the profile into the text field under "Profile name," then click "OK."

      Click "Add a New Email Account," then click "Next."

      Click the option that corresponds to the type of email account you are going to add to your profile, then click "Next."

      Enter the information for your email account into the corresponding fields, then click "Next." If you do not know some of the required information, contact your email hosting provider.

      Click the "Finish" button, then click "OK" to complete your profile setup.

    Change Profile

      Click the "Start" button in the lower-left corner of your screen, then click "Control Panel" in the right column of the "Start" menu.

      Click inside the "Search" field at the top-right corner of the window, type "Mail," then click the green "Mail" link on the left side of the window.

      Click the profile that you want to change from the list at the top of the window, then click "Properties."

      Click "Data files" if you want to modify the settings or location of your Outlook data file. From this screen you can click "Settings" to change the name of the file, or add password protection to your data file. You can also click "Add" or "Remove" to add a new data file or remove an existing data file.

      Click "Email" accounts, click "View or Change Existing Email Accounts," then click "Next." Click "Change" to adjust the settings for your email account.

Tips & Warnings

  • If you want to delete a profile, open the Mail application in the Control Panel, select a profile, then click "Remove" to delete it.
