      Write your return address and date approximately one inch from the top margin. Center it. Skip four lines then write, on four separate lines, the name of the department chair or the head of the personnel office, address and ZIP code at the left margin. Skip two lines and write "Dear Professor (or Mr. or Ms.) ________:". Single-space the entire letter.

      In the first paragraph, explain your motivation for writing, whether inquiring about hiring possibilities or whether responding to a want ad. If responding to an ad, make reference to the specific job listed and where you saw the listing. If you have a special attachment to the school, such as having graduated from it or currently living in the area, state it.

      In the second paragraph, provide your education, research or writing interests and work history. Briefly highlight what makes you a strong candidate or how your employment will benefit the school by connecting your personal history with the school's needs.

      In the closing paragraph, thank the addressee for consideration and provide your phone number and email address for future contact. Describe availability for interviews by phone or in-person. Finally, mention willingness to provide letters of recommendation, writing portfolio or teaching evaluations upon request.

Tips & Warnings

  • Find the name of the department chair or personnel head on the school's website. Also make note of the institution's demographics and history and tailor your letter accordingly.

  • Do not write a cover letter longer than two pages maximum.

  • Save a copy of the letter.
