How to Search in QuickBooks

QuickBooks financial management software by Intuit allows users to organize their financial information, track income and expenses, and prepare their data for tax time in a format that can be imported into most tax preparation software titles. One useful feature included in QuickBooks is a search function that lets users search files for important information instead of having to locate it manually. To ensure accuracy, QuickBooks even allows users to initiate search information updates so that even new transactions are included in search results.

Instructions

    • 1

Launch QuickBooks. Open the bookkeeping file that contains the data you wish to search.

    • 2

Click the "Search" button beneath the menu bar. A new window will open, prompting you to enter your search term.

    • 3

Check the date of the last search information update, listed in the search window below the "Advanced Search" link. If new transactions, expenses or other data has been entered since the date listed, click the "Update Search Information" link to perform a manual information update.

    • 4

Enter your search term in the search box and press "Enter" to begin a search. If you would like to add additional limitations on the search such as restricting the search to specific entry types or a certain date range, click the "Advanced Search" link to access the advanced search form and enter your search term and its restrictions in the fields provided.

Hover the mouse over individual entries in the search results to view the options available for each entry. You can open or edit entries, create invoices for customers, mark invoices as paid and even send emails to contacts concerning invoices directly from the search results.
