How to Create a Rule to Make Names in a Color on Outlook 2007

If you receive a large number of emails in your Outlook inbox, it can be hard to spot the important messages among all the rest. To make important messages stand out, you can color-code email messages, applying a specific color to the emails marked with a contact's name. Your first inclination might be to click the "Rules" icon in the toolbar; however, Outlook 2007 contains a special pane that provides a more elegant way to create these kinds of rules.

      Start Outlook 2007. Click "Mail," then "Inbox."

      Click "Tools," then "Organize" to open the "Ways to Organize Inbox" pane.

      Click "Using Colors" in the menu on the left side of the "Ways to Organize Inbox" pane. The color-coding options appear.

      Enter the name of the person to whose messages you wish to apply a color into the text field next to the "Color messages" option.

      Select the color you want to apply to messages from this person from the drop-down menu under the "Color messages" option.

      Click "Apply Color" to color-code messages according to the options you set.

Tips & Warnings

  • By default, this option color-codes messages from the person whose name you enter. If you want to color-code messages you send to this person, select "sent to" in the first field of the "Color messages" option.
