A complaint letter should be well thought out.

There may be a time or two when you don't get along with someone in the workplace. Butting heads with a co-worker may be inevitable. However, there are times when employees do not work well with supervisors. This situation should be handled with care since the supervisor is in charge of you and your financial well-being. There are a few things to keep in mind if you are going to write a complaint letter about a supervisor.

      Type your complaint letter about your supervisor using a document processor. Use a traditional 12-point font, like Times New Roman. It is fine to use a larger 14-point font for contact information.

      Begin your letter with your full name, position at the company and all of your contact information. Each piece of information should be written on one line a piece. Skip one space.

      Address the complaint letter to the Human Resources department. However, use the Human Resource Manager's full name, position at the company and contact information. The contact information should be written in the same fashion your contact information was written. Skip one space.

      Write Dear Mr./Mrs./Ms./Dr. Last Name:" to begin the complaint letter to maintain professionalism. Skip one space to start your introduction paragraph.

      Explain your past with the company and state who you are writing the letter about. You can say how long you have worked for the company and your time working there has been enjoyable thus far. Give the full name of your supervisor.

      Describe any situations that have warranted the complaint letter. Be very detailed and give times and dates if you recorded any incidents. Also state how long this problem has been going on.

      Conclude the letter stating that you are willing to work the problem out and you may seek employment elsewhere if the problem persists. Also reiterate that you would like to keep your job.

      Skip one space and write "Sincerely." Skip another space and type your name and position at the company.

      Print the letter using card stock or other quality paper to print and sign it in the space above your typed name. Fold the letter and place it into an envelope if necessary and address it to the Human Resources Manager. Seal the envelope if other co-workers will have access to it.

  • Do not discuss the complaint letter with other co-workers.
