How to Condense PowerPoint to Email

The images, video and other media in a PowerPoint presentation can contribute to a file that is too large to email. By reducing the quality of images and media contained within the presentation, you can reduce the file's overall size. The quality of the presentation's media may be negatively impacted some, but you will be able to share the presentation via email. PowerPoint provides three quality options for images, video and audio within a presentation. Try different options to create a PowerPoint file that you can email and that also meets your quality needs.

  1. Reduce the Size of Video and Audio Files

      Click "Info" in the PowerPoint "File" menu.

      Choose "Compress Media" from the Media Size and Performance section.

      Select a quality for the video and audio contained within the presentation. Choose "Low Quality" to condense your PowerPoint as much as possible.

    Reduce the Size of Pictures

      Click "Compress Pictures" from the Picture Tools section of the PowerPoint "Format" menu.

      Select "Delete Cropped Areas of Pictures." Deleting unused sections of pictures reduces the PowerPoint's overall file size.

      Leave "Apply Only to This Picture" unchecked to reduce the size of every image in the presentation.

      Select a resolution for the images in the Target Output section. Choose "Email (96 ppi)" to reduce your file's size the most.

      Click "OK" to close the dialog box and complete your changes.
