How to Write an Apology Text Message

The art of apologizing has expanded with all the new mediums available to the average person. What once had to be done through face-to-face explanation or by letter can now be done via text messages. When you have something fairly minor to apologize for, such as being late for a lunch date or for having to cancel an appointment, texting can be helpful simply because it gets the message across instantly. However, as with any apology, one should always follow basic etiquette, and depending on the weight of the infraction, follow it up with a personal apology as well.

  • Be sincere and acknowledge in what way you hurt or inconvenienced the receiver. Now is not the time for excuses or reasons.

  • Express follow up. If you are going to be late for something, show what time you are going to arrive. If you have to cancel something, suggest a time for rescheduling or indicate that you will be contacting the receiver as soon as possible. If you have hurt someone's feelings, pledge that you will be more careful or thoughtful in the future.

  • Be as brief yet concise as possible. A text message is not the place for a lengthy conversation but an acknowledgement of a wrong done. If necessary, indicate your willingness to discuss things in person at a later time.

  • Keep in mind that an apology via text message may seem insincere depending on the infraction and might not help the situation. Use your best judgment when it comes to an apology that requires a face-to-face meeting or a carefully thought out letter rather than a brief text message.
