How to Write a Copy Editor

How to Write a Copy Editor thumbnail
Communicating with a copy editor in an effective manner should be a vital skill for all writers.

For anyone in the field of writing, contacting a copy editor may be the most challenging skill for them to master. In a sense, copy editors are the gatekeepers who decide how and what gets published. Most writers don't contact editors for sport, their interest is strictly business and their goal is to get the writing published with as few changes as possible. Writers should never take changes from the editor personally.

Instructions

    • 1

Contact the copy editor in a succinct but professional manner. Try never to strike an aggressive or accusatory tone. Be cordial and show that you appreciate their work.

    • 2

Begin with a salutation. Open the correspondence (whether email or physical mail) in the same manner you would to a boss or a co-worker rather than a friend.

    • 3

State succinctly how you feel about their edits without devolving into a personal attack. Address specific changes and why you agree or disagree using supporting material.

    • 4

Cite an editorial or style manual if you feel the editor has gone amiss. Quote specific passages that pertain to the situation.

    • 5

Thank the copy editor directly for their work and suggestions. Explain how their advice will help you in the future. Respectfully disagree with any of their comments if you wish.

    • 6

Make the editor feel comfortable in their position by agreeing with several of their comments, even if you don't fully agree or believe the edits were obvious. Close in a cordial manner, restating generally in one sentence what you agree and disagree with.

Tips & Warnings

  • In "Make a Real Living as a Freelance Writer" Jenna Glatzer reminds that, "Everything you write contributes to the impression an editor has of you."
