How to Remove Data From a Chart in PowerPoint

Microsoft PowerPoint, part of the Microsoft Office Suite, shares many features with other Office Suite programs, including the Excel spreadsheet and chart making software. In fact, PowerPoint creators can open an Excel spreadsheet and chart within PowerPoint or create a chart completely from scratch with all of the familiarity of Excel. After designing a chart, edit and tweak it at will to remove unnecessary data, clear up space or create an entirely new graphic.

Instructions

    • 1

Open Microsoft PowerPoint. Click the "File" tab. Select "Open." Locate the presentation with the chart to edit and double-click the file name. Press the "Page Down" key on the keyboard and flip through the slides to get to the chart with the data you want to remove.

    • 2

Double-click the chart on the slide. A "Chart in Microsoft PowerPoint" window will pop up. Slide the chart off to the side or onto a second monitor so you can see both it and the chart.

    • 3

Remove a column from the chart, which will affect the chart's imagery (such as the length or the color of the bars) by highlighting that column in the Excel spreadsheet, right-clicking and selecting "Delete."

    • 4

Remove a row from the chart, which will also affect the chart's imagery, depending on chart style, by highlighting the row, right-clicking and selecting "Delete." For example, performing this function on a bar chart will make the bars thicker.

    • 5

Remove the legend on the chart by clicking it directly on the PowerPoint slide and pressing the "Delete" key on the keyboard.

    • 6

Remove the category labels or numbers by clicking their text box and pressing the "Delete" key.

    • 7

Close the Excel window. Click the "File" menu. Click "Save As." Type a new name for the spreadsheet (so the unedited chart remains available) and click the "Save" button.
