Get your point across with a well-written letter that is formatted in a formal, businesslike style. A professionally written block style letter helps to convey the message you are sending because the recipient can scan it quickly and effectively. The block style letter is left justified with no indentations, and single spaced with an extra line between paragraphs, so the eye is not forced to jump around while reading it.

      Set 1-inch margins on all sides of the page. Type your address at the top left corner, add a space and type the date under it. If you are using letterhead stationery, skip this step. Type the recipient's name and address under the date. Every new line on a block letter should begin at the left margin.

      Type a formal opening greeting followed by a colon. For example: "Dear Mr. Dober:" or " Dear Mr. William Dober:"

      Skip a line and write a closing paragraph thanking the recipient for his time, stating the outcome you want to achieve and providing contact information. Format it like the previous paragraphs.

      Close the letter with a closing phrase such as "Respectfully," "Thank you for your time," or "Sincerely," followed by a comma. Skip four spaces and type your name and title at the bottom of the letter. Print the letter and sign your name at the bottom.
